How are our sports registration forms displayed on a website?
The Orgs Online Sports Manger provides online sports management
software services that make it easy to create an online sports registration form
for each sport – per season. Each online sport’s registration form can list a
separate participation fee as well as a separate online sports registration
start and end date. Once the form is created, the Orgs Online Sports Manager
displays the form on a website based upon the start & stop dates defined by the
league administrators.

Who creates our sign-up registration forms and can they be customized?
Each sports league or school designates its own authorized
administrators for the online sports registration software services. (For
example: a school’s Athletic Director.) Only authorized administrators have
access to the online sports manager administrative software. Those with
administrative access, create their own sport names, season names, league names,
and division names per sport per season. The authorized administrators (admins)
then create online sports registration forms for each sport and season.

How many sports and teams can the online sports registration system support at any one time?
The Orgs Online sports management software services as many
sports and teams as needed. Authorized administrators use the online League
Builder tools to define the number of sports and the number of teams that are to
be supported each season. If there are divisional subgroups needed within a
sport those are defined when the sport and season is defined.

Does the online sports registration software services show participation fees?
When creating an online sports registration form, authorized administrators can indicate the participation fee being charged for each sport/season. As participants submit their online sports registrations, the amount due can be automatically calculated and added to the participating family’s online sports manager account.

Can uniforms shirts and other items be ordered (for purchase) when families register online?
Yes, the online sports registration software services provides
the option to list uniform items available for purchase. When listing such
items, sports administrators can indicate the cost being charged as well as
request the size being ordered.

Can uniform sizes be collected (for items being provided by the school) when participants register online?
Yes, the online sports registration software services provides
the option to request the size needed for uniform items being provided by the
school or league. The results are available for authorized administrators to
view when running their online sports registration administrative reports.

How do participants submit payments?
Administrators can accept sports registration online payments
when the online sports registrations are submitted by participants. When online
payments are submitted payments are automatically posted to the participant’s
family account. If administrators elect to accept paper checks, participants can
print an Amount Due statement, attach a check and send payment to the school or
the league administrator as directed. The online sports registration software
service provides a payment posting ledger where administrators can record paper
checks submitted by participating families. Payments posted manually by
administrators are automatically applied to family accounts.

Who has access to payment information stored on the system?
Only authorized administrators that need to view online sports
registration payment records would be assigned permission to view payment
records. When authorized administrators are given administrative access, they
access permissions are only granted for to those parts of the online sports
manager system which they need to view to perform their administrative duties.

What precautions are taken to safeguard personal information submitted by participants?
Personal information submitted by participants is sent to the
online sports registration software services in a secured transmission format
that encrypts the data as it is submitted.

What happens if there is an internet or network problem?
The internet is an international network beyond any one company’s control. The following efforts are however in place to prevent (or minimize) service interruptions. All information stored by the Orgs Online Sports Manager is backed-up at a secured data center and at a separate remote location. The data center is serviced by multiple internet carriers to provide an automatic carrier replacement in the event that one of the carriers experiences a network problem. Likewise, the data center is also supported by an industrial sized automatic electric generator to provide emergency backup power in the event of a power loss.

How does the system know when to accept online sports registrations for each sport?
When authorized administrators create an online sports
registration form, each form is assigned a sign-up start and end date. The
system allows multiple registration forms to be active at the same time, and
each online sports registration form has its own online registration start and
end date.

How do authorized administrators view their sports league registration information?
Authorized sports program administrators can access the online
sports manager system anytime (from anywhere) by going to a website.
Administrators are each given specific administrative access permissions to view
those parts of the sports program's administrative system pertinent to the tasks
they are authorized to perform on behalf of the school or sports league.

How are players assigned to teams?
The Orgs Online Sports Manager administrative tools let authorized administrators view and sort registered participants into appropriate groups. The “Assign Players” tool displays players eligible for the selected sport. Players can be assigned to teams to create “preliminary” team rosters for viewing prior to finalizing team assignments.

Does the system accommodate player evaluation rankings?
Yes, if prospective players are evaluated by coaches (or other league representatives) prior to players being assigned to teams, each player’s evaluation ranking can be recorded for viewing when assigning players to teams.

How are teams assigned to game schedules?
The Orgs Online Sports Manager system provides online software
services that let League Managers or Athletic Directors build game schedules for
display on a website. When game schedules are recorded into the online sports
manager system the game schedules can be displayed for all teams (per sport /
per season) on a public website. Each individual team’s game schedule can also
be displayed on a participating family’s online sports account page.

Does the online sports manager have tools to assign Officials to games & meets?
Yes, the Orgs Online Sports Manager provides tools for Officials to sign-up to officiate at sporting events sponsored by a subscribing sports league or school. The online sports manager groups Officials by sport and lists their availability when that information is provided by a registered official. The system also provides tools that make it easy for league administrators or Athletic Directors to assign officials to scheduled games -- and to notify each official of his/her officiating assignments.

Our school uses the VIRTUS volunteer training program. Is this system compatible?
Yes. For schools that conduct volunteer and coach training using
their own program or using a third party program such as VIRTUS, the Orgs Online
sports management system allows sports administrators to record the results of
background checks as well as eligibility status for all coaches and volunteers.
(Note: The Orgs Online software service does not conduct background checks, and
it is not affiliated with the VIRTUS program. It does however give
administrators an easy to use tool for tracking the results reported by these
third party services.)

We sell spirit wear.
Will this system let us offer it online?
Yes. The Orgs Online sports manager software service allows
administrators to collect uniform orders along with the online sports
registrations. An extension of that feature can be added to let schools display
an online spirit wear order form -- and collect online payments for spirit wear
orders.

Yes. The Orgs Online sports manager software service has a season scheduling module for sports leagues. League administrators can set game schedules and team pairings from any computer with an internet connection.

How do participating families submit online sports registrations?
Participating families access a website to submit their online sports registrations. The first time families go to the website they will select the First Time User option and from there they will be shown how to create an online sports registration account. When families come back later, they can access their personal online sports account by entering the password they create when they submitted their first online sports registration form.

What if a participating family forgets their password?
If a family forgets their online sports registration password,
they can select the GET HELP option on the sports registration site to have
their password sent to them by the technical support staff, or they can select
the Forgot My Password optional link found on the website’s login page. If they
select the Forgot My Password option the system’s automated attendant can send
their password to their email address.

Can participants sign-up for more than one sport at a time?
The Orgs Online Sports Manager system lets your sports program administrators display multiple online sports registration forms at any one time. If they elect to display and accept online sports registrations for more than one sport at a time, then participating families could submit online sports registrations for however many sports registration forms appear on the sports sign-up website.

If a family has multiple participants, do they create a separate sports account for each participant?
No, the Orgs Online Sports Manager groups all family participants into one Family Account. When a participating family submits their first online sports registration form, they will create their “family sports account”. The family’s online sports registration account will contain the names of each member of the family registered to participate in a sport.

What happens when a participant comes back to sign-up for another sport?
Returning to registering for another sport is an easy “point-and-click” process. Family accounts created by the Orgs Online Sports Manager lists each family’s participants. When a participant returns to register for another sport, the family need only access their online family account, select the participant’s name from their family list, select a sport & season, and then submit the registration. It’s that easy!

How do families pay for their online sports registration?
Payments can be submitted online (if allowed) or by paper check. As online sports registrations (and uniform orders) are submitted, the Orgs Online Sports Manager automatically adds the amounts due to the family’s online sports account. When family members complete their current registrations, they can submit the PAY NOW button to submit an online payment. If their school or sports league is not accepting online payments, the family prints an Amount Due statement, attaches a payment check, and sends that to the sports program administrators as instructed by the school or the league managers.

If a family submits multiple registrations at one time, do they submit separate payments?
No, each family only needs to submit one payment covering all of the family’s online sports registrations. The Orgs Online Sports Manager groups all members of a participating family into a “family account”. When participating members of the family register to play a sport, each online sports registration submitted by that family is added to the family’s online sports account. Once all participating family members have been registered for their selected sports and seasons, the total amount due for all of the family’s unpaid registrations (and uniform orders) will be displayed in the family’s account as their Current Balance. That is the amount to pay.

What if a family does not have internet access and cannot register from home?
The online sports registration forms created by the Orgs Online Sports Manager are displayed on an internet website. If a family does not have internet access at home, they can still access the online sports registration form if they can access a website from another location. In many cases, schools make a computer available for families to use within the school. If however there is a family who cannot access the online sports registration form’s website, then the Orgs Online Sports Manager allows authorized administrators to access the system and submit the registration for the family.

What is my “Family Account” – why do I need that?
The “Family Account” groups all of a family’s sports information into one easily accessible place. When a family submits their first online sports registration, the Orgs Online Sports Manager creates a Family Account listing participating family members and the sports for which they signed up to play. When players are assigned to a team, the Family Account will display the team assignment as well as list the coaches name and his/her contact information. It will also automatically display the game schedule for each of the family’s teams. Each team’s coach can also record practice schedule information that will display on the Family Account s (for team families). If a member of a participating family needs to register for another sport (at a later date), the Family Account makes registering for another sport a quick and easy point-and-click process. Do Family Accounts expire at the end of the season or school year?
No, Family Accounts remain active from year-to-year (or season-to-season). Families can use the same Family Account throughout the entire time they are participating in sports league. At the end of each season (or school year) the prior season/year registrations are purged from the system to clean the way for new registrations in the upcoming season. However, although prior registrations are purged, the Family Accounts retain the family lists and families still access their accounts using their same personal passwords.

If I register for a sport at one school, can I register for a sport sponsored at another school or league?
Yes, if that is allowed by the participating schools or sports leagues. When the Orgs Online Sports Manager system is being used by multiple sports programs within an area, families can use one Orgs Online Family Account to register as participants at any of the schools or sports leagues using the Orgs Online Sports Manager system.
